EXECUTIVE ASSISTANT
Office of the Executive Director

AAPF is seeking an enthusiastic Executive Assistant to join our team! This position is a full time salaried remote role with the potential to transition into an in-office role. The Executive Assistant will provide office management, scheduling, administrative support, and other assistance to the Office of the Executive Director.

Founded in 1996, The African American Policy Forum (AAPF) is an innovative think tank that connects academics, activists, and policy-makers to promote efforts to dismantle structural inequality. We utilize new ideas and innovative perspectives to transform public discourse and policy. We promote frameworks and strategies that address a vision of racial justice that embraces the intersections of race, gender, class, and the array of barriers that disempower those who are marginalized in society. Executive Assistant Role Summary
Reporting to the Executive Director, the Executive Assistant will be responsible for day to day execution of administrative tasks related to the Office of the Executive Director (OED). The Executive Assistant will serve as the key point of contact for all scheduling and calendar management on behalf of the Executive Director as well as other activities that further the preservation of the Executive Director’s time.

Duties and Responsibilities include, but are not limited to:

  • Scheduling appointments and maintaining calendars of the Executive Director; 

  • Assisting in the management of accounts (primarily email accounts);

  • Developing travel itineraries and agendas including scheduling flights, arranging other transportation and book accommodations;

  • Managing the expense reporting for OED finance accounts using Expensify platform;

  • Dealing with complex, multi-layered communication with various AAPF partners and collaborators;

The Ideal Candidate should have:

  • Strong organizational, multi-tasking, and prioritizing skills;

  • Effective written and oral communication skills;

  • Flexibility to pivot as needed and react with appropriate urgency to situations that require a quick turnaround in a high-intensity, fast-paced environment;

  • Ability to execute projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; making adjustments to plans;

  • Proficiency in Microsoft Office and Google Suite;

  • Experience with timekeeping systems;

  • Demonstrated ability to schedule appointments and meetings; 

  • Experience in interpersonal communications;

  • Commitment to updating job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; and participating in professional organizations;

  • Basic accounting skills (helpful, but not required)

Reports to: Executive Director
Location: New York, NY (currently remote-temporary)
Compensation and Benefits: The annual salary range for this position is $70,000-$80,000 (commensurate with experience)

 

In addition to the base salary, AAPF offers a comprehensive benefits package which includes:

  • PTO policy which includes up to 10 days of accrued paid vacation time per year (increasing after two years of service), up to 5 days accrued; 3 days of paid personal time; and 10 staff holidays;

  • A yearly professional development budget allocation of $2100 for each staff member.
